Tips and Tricks for Using Outlook

Create email signature
Tools > Options > Mail Format > Signatures button > New button > Type a name for your signature > Okay button > Click in the Edit signature area of the Signatures and Stationery dialog box and type in your info > Click OK

Recall message
Sent mail > open it >Other Actions > Recall Message

Check Names
When composing an email and adding an address that you are not sure about, type in as much as you know of the person’s name and then click the Check Names button.

New mail sounds
Tools > Options > Preferences > Email Options > Advanced Email Options > Makes sure the box is checked next to Display a New Mail Desktop Alert > OK

Disable or enable new message alerts
Tools > Options > Preferences > Email Options > Advanced Email Options > Desktop Alert Settings > OK

Mark special emails by color
To categorize email messages
Right click the message heading to display the message shortcut menu > Point to Categorize to display the Categories submenu > Click the Red Category command on the Categories submenu> if the Rename Category dialog box appears, click No.

Delivery and Read receipts
File > New Mail Message > Options > Check Request a Read or Delivery Receipt.


Flagging messages

Right click on the message heading > Point to Follow Up to display the Follow Up menu > Click the Today command on the submenu to assign a Follow Up flag

Set up a distribution list
Contacts > New > Distribution List > Type in the name for your distribution list > Click the Select Members button > click on each member name and then click the Members button to see it in the field next to the Members button (use the CTRL key to select several different members at the same time) > click OK to close the dialog box > Click the Save & Close button.


Add links in a message
File > New Mail Message > Type in the URL of a web site or type a word > select the word > right click, choose Hyperlink from the menu > type the URL of the web site in the Address field > OK

Add images to messages
File > New Mail Message > Insert tab > Picture or Clip Art > Browse for all

Quick Access Toolbar
Click on arrow > Choose from menu items to put in your Quick Access toolbar.

Resizing images using Microsoft Office Picture Manager

1. Open Microsoft Office Picture Manager by click Start > Programs > Microsoft Office > Microsoft Office Tools > Microsoft Office Picture Manager

2. Double click on a picture from your My Pictures folder.

3. Click the Edit Pictures button on the toolbar.

4. Click the Resize link under Change Picture Size on the left hand side.

5. Change the size of your picture using any of the various options that appear.

6. Save your image again as a different name so that you always have the original image to work with by going to File > Save as ... and then rename the file.

7. Close Microsoft Office Picture Manager. If you get a message that asks if you want to save the image the was recently changed, click Don't Save.

Embed a YouTube Video in a PowerPoint 2007 Presentation

Text directions for the video:

1. Make sure that the Developer tab is available.

    Office button > PowerPoint Options > Check Show Developer tab in Ribbon > OK

2. Click the Developer tab > More Controls button> choose Shockwave Flash Object from the list > click OK > click on the slide and drag until a box is formed.

3. Find a video on YouTube (or other site). Copy the URL (not the embed URL).

4. Right click on the box you created on the slide > choose Properties.

5. Click in the Movie field in the dialog box that opens. Paste the URL in the field.

6. Wherever you see "watch?" in the URL, delete it. Delete the equal sign (=) and add a slash (/) there.

7. Don't loop the video by choosing False in the Loop field.

8. To choose when the movie plays change True to False in the Playing field.

9. Close the dialog box by clicking the red "x" in the top right corner. Test to see if this work in your presentation.
